Coffee Bloom cut manual work by 60% in one quarter

How a fast-growing team replaced copy-and-paste with connected workflows.

Key takeaways

  • Coffee Bloom moved 40 repetitive processes onto Saasyio in one quarter.

  • Manual work dropped by about 60 percent across operations.

  • The team started with approvals and intake, then expanded.

  • Results held because people stayed in the loop for exceptions.

How a fast-growing team replaced copy-and-paste with connected workflows, and what they would tell anyone starting out.

The starting point

Coffee Bloom's operations team supported a company that doubled in a year. Requests arrived by email, chat and forms, and each one was copied by hand into a tracker, a spreadsheet and sometimes a second tracker. Skilled people were spending their days on clerical work.

Where they started

Instead of a big migration, they picked the three processes that annoyed people the most: purchase approvals, new-hire setup and weekly reporting. Each went live within a week, with a person approving every outcome at first.

  • Purchase approvals: from days to minutes for routine requests.

  • New-hire setup: accounts, equipment and welcome tasks created from one form.

  • Weekly reporting: numbers pulled and summarised automatically every Monday.

Scaling to forty processes

Once the first three proved themselves, the team added workflows steadily: invoice matching, vendor onboarding, access reviews and customer intake. By the end of the quarter, 40 processes ran on Saasyio and manual work had fallen by roughly 60 percent.

We did not hire our way out of the backlog. We removed the backlog.

What made it stick

  1. They kept people in the loop for exceptions and anything sensitive.

  2. They reviewed each workflow's results weekly for the first month.

  3. They named an owner for every automation, just like a product.

  4. They shared wins openly, which made the next workflow easy to propose.

Advice for teams starting out

Choose processes with clear rules, measure the time they take today, and celebrate the first one that saves a measurable hour. Momentum matters more than the perfect plan.
